Five Technology Checks to Finish Before January
The last weeks of the year are the quietest time most Tennessee small businesses get to look at their technology. Danielle Lemons, Vice President of Operations at DirecTech Connect, has written about each of these five checks in her series for small business owners. Here they are in one place, as a year-end list.
1. Has anyone restored a file from your backup?
A backup you haven’t tested is a hope, not a plan. Pick one file and restore it. Make sure at least one copy lives somewhere other than the office, and that someone gets an alert when a backup stops running. Read the backup questions.
2. Where do your calls go if the internet goes down?
If your phones run over the internet, they stop when it does, unless calls are set to fail over to cell phones or another location. Test it once, on a slow day. Read the outage questions.
3. Do you have every account number in one place?
Your phone, internet and hosting providers will all ask for an account number, a PIN and the name on the account. Write them down now, along with every phone number your business owns, including fax and toll-free lines. You’ll need that list for an outage call and for any future switch. Read how to keep your number when you switch.
4. Does your website bring in calls?
Start with three questions. Can a customer call you in one tap on a phone? Does the top of the page say what you do and where, in plain words? Can you update hours, prices and photos yourself? Read the three website questions.
5. Is your process written down?
A process that lives only in someone’s head is a risk. Pick the three tasks your business repeats every week, write the steps on one page, and write them so someone in their first week could follow them. Read why a short written process matters.
Final Word
None of these checks takes more than an hour. Doing them in December means January starts with one less surprise.
